Privacy notice

Effective July 28, 2026

This notice explains how Operlay handles information through the Operlay website, Warranty Credit Recovery Audit, and Recovery Ledger service. It does not cover manufacturers, distributors, field-service systems, accounting systems, or other services that you use separately.

Operlay is accountable for personal information under its control. Rob Marunchak, founder, is the privacy contact for questions and challenges about these practices.

Information we collect

We collect information you provide in assessment and support requests, including your name, company, business contact details, approximate case volume, and workflow notes. If you receive a workspace, we also collect account details, workspace membership, operational warranty-case records you choose to enter, private evidence files, and security and product-usage events. When payment is available, we receive billing identifiers and status from the payment provider rather than storing full payment-card numbers.

Keep case data limited to what is needed for warranty operations. A customer name is optional and a service address is not required.

How we use information

We use information to respond to requests, provide guided onboarding and the contracted service, authenticate users, maintain case and audit history, secure and back up the service, deliver transactional and support messages, process billing when enabled, diagnose failures, and improve Operlay. We do not use case contents to make warranty-eligibility decisions.

Contact permission and commercial messages

When you request an assessment, we record your affirmative permission and the form source so Operlay can answer that request. The form does not enroll you in an automated marketing sequence. You may ask us to stop commercial follow-up at any time by replying “unsubscribe” or emailing support@operlay.com. Transactional or security messages may still be sent when needed to operate an account.

Cookies and analytics

Operlay uses essential cookies for request security and signed-in sessions. The current public site does not use advertising cookies or tracking pixels. If that changes, this notice and any required choices will be updated before those tools are used.

AI-assisted operations

Operlay does not use AI to determine warranty coverage, approve or deny claims, or autonomously submit or appeal them. Operlay may use human-reviewed assistive tools for drafting support communications and organizing internal work. Those tools do not have authority to make warranty decisions or binding commitments. Material handling of workspace data by a new service provider will be assessed before use.

Sharing and service providers

We disclose information to workspace users you authorize and to service providers used for hosting, email, security, backup, and payment processing, only as needed to operate the service. We may also disclose information when required by law or in connection with a properly governed business transfer. We do not sell personal information, and we do not submit claim data to a manufacturer or distributor on your behalf.

Security and retention

We use organization-scoped access controls, protected sessions, encrypted storage for private attachments, restricted file types, audit logging, and operational backups. No online service is risk-free. We retain information for as long as needed to provide the service, maintain security and audit records, meet legal or accounting obligations, and resolve disputes. Backup retention may delay final removal from inactive copies.

Your choices

You may request access, correction, export, or deletion of your account information, subject to applicable law, workspace authority, and legitimate retention needs. Workspace administrators manage most operational records and member access. Contact Operlay before sending sensitive records by ordinary email; a secure workspace or another agreed channel should be used for case evidence.

Location and intended use

Operlay is based in Canada and the initial service is intended for United States HVAC contractors. Infrastructure and service providers may process information in Canada, the United States, or other locations where they operate. Do not use Operlay for regulated health information, payment-card data, account passwords, or information unrelated to warranty operations.

Privacy questions, requests, or challenges to Operlay's compliance may be sent to Operlay at support@operlay.com. Operlay will verify the requester's identity and authority before disclosing or changing workspace information.
